Productivity Tools Bangladesh Entrepreneurs Actually Use in 2026

A practical starting stack for a small Bangladeshi business is WhatsApp Business for customer chats, a khata app or Google Sheets for records, a dedicated MFS business account for payments, and a courier merchant panel for deliveries. Add paid tools only when a specific problem justifies them and a legal payment route exists.

Key Takeaways

  • Mobile access should be the first test for any tool, since about 89% of Bangladesh's internet subscriptions are mobile.

  • Free tiers of WhatsApp Business, Google tools, Canva and local khata apps can cover many early-stage needs.

  • Keep business payments in a dedicated business account, such as a bKash Personal Retail Account or merchant account.

  • Every tool here has limits, so plan when you will outgrow it before you depend on it.

  • Eligible SMEs and freelancers now have defined Bangladesh Bank routes for certain foreign software costs.

Bangladesh had 135.94 million internet subscriptions at the end of June 2026, and 120.84 million of them were mobile, according to BTRC figures reported by The Financial Express. These are subscriptions, not unique people, but the direction is clear: business software that works poorly on a phone starts at a disadvantage here.

That shapes which productivity tools for Bangladesh entrepreneurs are worth considering. Many global SaaS products are priced in dollars and built around card payments, steady broadband and English-first workflows, which do not always match how smaller local businesses operate.

This guide covers the tools themselves, not personal habits. For routines and prioritising, see our guide to time management. Here you will find tools grouped by job, the limits of each, suggested stacks by business stage, and the current rules for paying for foreign software from Bangladesh.

How this list was selected

This is not a nationally representative survey of Bangladeshi businesses. Tools were chosen on local availability, mobile support, Bangla support, pricing in BDT or a usable free tier, and features documented by the providers. We use "productivity tools" broadly to include the software and business services small firms rely on to communicate, keep records, collect payments, manage work, and deliver orders. Prices, plans and features change often, so check each provider's current page before you commit.

How to Choose Productivity Tools for Bangladesh Entrepreneurs

For many small businesses, practical constraints matter more than the longest feature list. A tool your team cannot use on a phone, cannot pay for, or cannot read in Bangla is unlikely to stick, however good its reviews are.

Before adopting any tool, check these six points:

  • Mobile: Is the Android app complete, or a cut-down version of the desktop product?

  • Cost and payment: Is there a usable free tier, BDT pricing, or a legal way for you to pay in dollars?

  • Language: Does it handle Bangla text, names and addresses cleanly?

  • Connectivity: Does it keep working offline or on a weak connection, and sync later?

  • Data access: Can you export your records if you switch tools later?

  • Team adoption: Can your least technical staff member use it without formal training?

These are our recommended filters, not research findings. Integrations and automation can wait. For an early-stage business, a simple tool the whole team uses consistently is usually worth more than a sophisticated one nobody opens.

Customer Communication Tools

WhatsApp Business

The free WhatsApp Business app can work as a lightweight tool for customer chats and simple order handling. It adds a business profile, product catalogue, quick replies, greeting and away messages, and chat labels such as "new order" or "paid" on top of normal WhatsApp.

  • Best for: Small sellers and service businesses that already talk to customers on WhatsApp.

  • Why it fits Bangladesh: It runs on the phone and the messaging app many customers already use.

  • Cost: The app is free. Paid features and the separate WhatsApp Business Platform for automated messaging have their own pricing.

  • Main limitation: It is not a full CRM or order system. As chat volume grows, orders, payment status and follow-ups get hard to track in chat threads.

  • When to upgrade: When you need several staff answering at once, reliable order records, or automated messages at scale.

If you plan to use WhatsApp for promotions as well as support, our guide to WhatsApp marketing in Bangladesh covers broadcast lists and opt-in practice.

Meta Business Suite

Facebook-first sellers can use Meta Business Suite to manage Facebook Page and Instagram messages, comments and scheduled posts from one place. It is free. Its main limitation is that it covers Meta's own platforms only, so WhatsApp Business app chats, phone orders and website enquiries still sit elsewhere. Meta changes this interface regularly, so check current features in your own account.

Bookkeeping and Business Records

TallyKhata

TallyKhata is a Bangla-language app for recording daily sales, purchases, stock, expenses and customer dues. Its TallyPay QR lets a shop accept payments from different MFS and bank apps, as described on the TallyKhata website.

  • Best for: Shops and micro businesses replacing a paper khata.

  • Why it fits Bangladesh: Bangla interface, phone-first design, and built-in tools for tracking baki (customer credit).

  • Cost: A free Standard version covers core bookkeeping. Its Google Play listing describes a paid Gold version with extra features such as stock accounting and multi-business management. Payment-related transactions can carry their own charges.

  • Main limitation: It is a record-keeping app, not full double-entry accounting.

  • When to upgrade: When you need formal financial statements, payroll, or an accountant working in proper accounting software.

Hishabee

Hishabee covers similar bookkeeping tasks and adds point-of-sale, inventory alerts, profit and loss reports, due reminders by SMS or WhatsApp, and role-based staff access. The company says the app works offline and in Bangla. It also offers inventory finance of up to Tk 50,000 through its partnership with Prime Bank.

  • Best for: Retailers managing many products and staff at the counter.

  • Cost: Hishabee advertises a 7-day free trial, so check current plan pricing before you commit.

  • Main limitation: Like other khata-style apps, it is not a substitute for formal accounting once your reporting needs grow.

Google Sheets

For service businesses and small online stores, a well-structured Google Sheet can be enough for sales, expenses and order tracking. It is free with a Google account and flexible. Its weaknesses show at scale: accidental edits, duplicate versions and manual reconciliation. Move to dedicated accounting software when transaction volume, reporting requirements or team size make the sheet hard to trust.

Payment Accounts and Gateways

The key principle is simple: keep customer payments separate from your personal money. A dedicated business account gives you a cleaner transaction history and makes reconciliation easier than sorting through transfers to a personal number. It does not remove reconciliation entirely; you still need to match payments to orders.

bKash business options

bKash offers more than one business account type, and the right one depends on your size.

  • Personal Retail Account (PRA): bKash describes the Personal Retail Account as a business account for micro and small retail and f-commerce businesses. You apply online with your NID and a mobile number that has never had a bKash account, because an existing personal account cannot be converted. At the time of writing, receiving customer payments is free under a promotional offer, with a receiving limit of Tk 30,000 a day and Tk 5 lakh a month.

  • Merchant accounts: Larger or growing businesses can apply for bKash merchant accounts, which come in several tiers with different limits, fees and payment-gateway options.

Check current limits and charges with bKash before choosing, since both change.

Nagad and other providers

Nagad and other MFS providers also offer business payment services. Compare fees, settlement times and how easily you can download statements, because statement access is what saves bookkeeping time.

Online payment gateways

If you sell through a website, a local payment gateway such as ShurjoPay or SSLCommerz can collect cards, mobile wallets and internet banking at checkout. Supported methods, fees and settlement terms vary by provider and contract, so confirm them directly. For context on how central digital payments have become, Bangladesh Bank's Payment Systems Report 2025, published in May 2026, covers MFS and other payment channels in detail.

Files, Email and Collaboration

Google Workspace

Free Gmail, Drive, Docs and Sheets can carry a solo founder for a long time. A paid Google Workspace subscription becomes useful when you need email on your own domain, organisational admin controls, and shared drives where files belong to the business rather than to one employee.

Shared drives are now available on Business Starter, the entry plan, following a change Google announced in its August 2024 Workspace update. The catch is that Business Starter gets a basic version: some admin and security controls, such as setting default shared drive settings, are reserved for higher editions.

  • Best for: Teams that collaborate on documents and want company-owned email and files.

  • Cost: Paid per user. Buying directly from Google usually means a foreign card payment (see the payment section below); some local resellers invoice in BDT, so compare both routes.

  • Main limitation: Costs grow with every user, and advanced controls require higher plans.

Microsoft 365

Microsoft 365 is another option, particularly for teams that rely heavily on Word and Excel files or work with clients who do. It offers business email, OneDrive storage and Teams. Like Google Workspace, it is billed per user, and plan features differ, so compare the specific plans before choosing.

Task and Project Management

A chat group and a shared sheet can be enough for a very small team. As the team grows, or several projects run at once, decisions get buried in chat and a dedicated task tool starts to pay off. All three tools below offer a free plan with limits; check each provider's current pricing page, because plan limits change.

Tool

Best for

Main limitation

Trello

Simple visual boards with little setup

Complex projects with dependencies need more structure than basic boards give

ClickUp

Agencies and teams juggling many clients and task types

Many features means a steeper learning curve for non-technical staff

Notion

Founders who want documents, wikis and task lists together

Without agreed rules, workspaces can become messy and hard to search

Whichever you pick, agree on one place for tasks and stop assigning work in chat. The tool only helps if it is the single source of truth.

Design and Writing Tools

Canva

Canva is an accessible option for social posts, product graphics, price lists, and simple presentations. Its free plan includes templates and core design tools, which lets a founder produce usable marketing material without a designer.

  • Best for: Social media graphics and quick marketing assets.

  • Cost: Free plan available; paid plans add premium content, brand kits, and team features.

  • Main limitation: Template-based designs can look similar to competitors' unless you customise them, and some assets require a paid plan.

AI assistants

AI assistants such as ChatGPT, Claude and Gemini can be used to draft customer replies, product descriptions, job posts and supplier emails, and to summarise long documents. They can write in Bangla as well as English.

  • Best for: First drafts of routine writing and summarising.

  • Cost: Free tiers exist; paid plans add higher usage limits and more capable models, usually billed in dollars.

  • Main limitation: Bangla output can sound unnatural to a native reader, and these tools can state wrong facts confidently. Never rely on them for prices, legal rules or tax rates without checking an official source.

A practical rule: use AI for one repetitive writing task first, have a fluent team member edit the output, and expand only once the quality is consistently acceptable.

Delivery and Order Operations

For e-commerce and f-commerce sellers, a courier's merchant panel can streamline order creation, shipment tracking and cash-on-delivery settlement. Features vary by provider, so compare them against how you actually ship.

  • Steadfast Courier: Its business page lists spreadsheet upload of up to 500 orders at once, a fraud check showing a buyer's past delivered and returned parcels, month-end reports on deliveries, returns and COD, a merchant app, and an API with plugins.

  • Pathao Courier: Pathao supports bulk order creation through its merchant system, with guidance in the Pathao merchant help centre.

  • RedX: The ShopUp-owned courier has documented options for creating multiple parcels at once from its merchant panel. Check its current panel for reporting features.

Delivery charges, COD fees, return charges, and payout timing differ between couriers and by area. Before committing, run a small batch of orders through each courier you are considering and compare delivery success, returns, and payout speed from your own data.

Suggested Stacks by Business Stage

The stages below are our suggested groupings, not fixed thresholds. Match them to your own operations rather than your headcount alone.

Suggested stage

Core tools

How you pay

Testing an idea

WhatsApp Business, Google Sheets, a bKash PRA or other business payment account, Canva free, an AI assistant's free tier

Free tiers

First regular sales

Add TallyKhata or Hishabee, a courier merchant panel, Trello or Notion free plan

Mostly free; courier and payment fees in BDT

Small team

Add Google Workspace or Microsoft 365, ClickUp or Notion paid if needed, a payment gateway, paid AI plans for key staff

BDT fees plus per-user subscriptions, often in USD

Growing company

Add proper accounting software with an accountant, HR and payroll tools, a CRM

Depends on users and vendors; needs a legal USD payment route for foreign tools

Before adding any paid tool, write down which task it removes and who owns it. Give each new subscription a defined trial period, such as 60 days, and cancel it if it has not earned its place by then.

Paying for Foreign Software From Bangladesh

Many useful tools are billed in US dollars, so the practical question is often how to pay legally. Two Bangladesh Bank routes are relevant to entrepreneurs, but each applies only to eligible businesses or individuals, and banks apply their own checks.

Route 1: The SME facility and SME Card

In October 2025, Bangladesh Bank allowed SMEs to remit up to $3,000 a year for bona fide current expenses abroad, either through normal banking channels or refillable international "SME Cards", according to BSS reporting on the circular. Key conditions:

  • The enterprise must be registered with the SME Foundation.

  • An SME Card can be loaded with up to $600 at a time for online payments, and card use plus bank remittances together cannot exceed $3,000 a year.

  • Transactions go through a single bank branch nominated by the enterprise.

  • Banks must carry out due diligence, including tax and VAT deductions at source and KYC checks.

  • Royalty, technical know-how, technical assistance and franchise fees are excluded and fall under BIDA guidelines.

Whether a particular subscription counts as an eligible bona fide expense is assessed by your bank against the applicable rules, so confirm before paying. As one example of a bank product under this rule, Prime Bank announced an SME card in October 2025: a debit card for proprietorships and prepaid cards for partnerships and limited companies.

You will need your business registration and banking documents in order first. Our guide to opening a business bank account lists what banks commonly ask for, but confirm the exact requirements with your authorised dealer bank.

Route 2: Retained earnings for freelancers and service exporters

This route applies only to freelancers and individual service exporters earning from non-resident clients, not to every business that receives money from abroad. Under Bangladesh Bank's FEPD-1 Circular No. 22 of 22 July 2026:

  • Service exporters may keep up to 50% of net export earnings in a foreign currency Exporters' Retention Quota (ERQ) account for software, data processing and other ICT services, and up to 30% for other legitimate services.

  • ERQ balances may be used for bona fide current expenses, which the circular lists as including software registration, domain and hosting fees, server maintenance, equipment imports and foreign travel.

  • Banks may issue dual-currency Freelancer Cards to eligible freelancers for receiving export proceeds.

  • Taxes, KYC and anti-money-laundering rules still apply.

The software-spending basis here is the ERQ provision, not the Freelancer Card itself, which the circular describes as a channel for receiving earnings.

What to keep in mind

Neither route is universal. Eligibility depends on registration, your bank's requirements, documentation, the purpose of the payment, and tax and VAT obligations. Rules are revised often, so check the latest Bangladesh Bank circulars or your bank's foreign exchange desk before relying on any figure here. If no legal route is open to you yet, stay on free tiers and BDT-priced tools rather than building core operations on a subscription you cannot pay for formally.

Local Alternatives Worth Considering

Bangladeshi companies build several of the tools in this guide. A local or locally built tool can have advantages in price, Bangla support, payment options, and support hours, though that depends on the product, so compare it against the global option on the criteria that matter to you.

TallyKhata and Hishabee, covered above, are the clearest examples for retail bookkeeping. Two Bangladeshi WordPress product companies also offer tools that run on your own website, which suits businesses that already have a WordPress site and want to avoid per-seat monthly SaaS fees.

  • WP Project Manager (weDevs): weDevs, founded by Tareq Hasan, makes WP Project Manager, a task and project plugin for WordPress. Main limitation: you maintain the site, hosting, updates, and backups yourself.

  • Fluent products (WPManageNinja): WPManageNinja makes FluentBoards for project boards, FluentCRM for email marketing and contact management, and Fluent Support for ticket-based customer support. Main limitation: these are WordPress plugins, so they need a reasonably well-run WordPress site and someone comfortable managing it.

Self-hosted plugins are usually licensed rather than billed per user, but licence terms and prices vary, so check the current plans before deciding.

How to Simplify Your Tool Stack

For a small business, you can often simplify your tools in a few focused sessions. These steps are our recommended approach:

  1. List every tool in use. Include personal apps staff use for work and every paid subscription.

  2. Map each tool to a job. Use the categories in this guide. Where two tools do the same job, choose one and set a date to retire the other.

  3. Plan your WhatsApp move carefully. If you run business chats from a personal WhatsApp account, consider moving to WhatsApp Business, and plan the switch so existing customers know which number to use and no conversations are lost.

  4. Start consistent record-keeping. Pick a khata app or one Google Sheet, and record every sale and expense daily.

  5. Separate business money. Use a dedicated business payment account, such as a bKash PRA or merchant account, instead of mixing customer payments with personal funds.

  6. Write simple tool rules. Note which app is for orders, which for internal chat, and where files live, and share it with the team.

  7. Add AI to one task. Choose a single repetitive writing task and review the output before expanding.

  8. Sort out payment before buying foreign tools. Confirm a legal payment route, such as the SME facility or ERQ, before subscribing to anything billed in dollars.

Frequently Asked Questions

What is a good free productivity tool for a small business in Bangladesh?

WhatsApp Business is a strong starting point because the app is free, runs on a phone, and adds a catalogue, quick replies and chat labels for handling customer conversations. Pair it with Google Sheets or the free Standard version of a khata app such as TallyKhata for records. Together they cover customer communication and basic bookkeeping without a subscription, though you will need more structured tools as volume grows.

Can I pay for software like ChatGPT, Notion or Canva from Bangladesh?

Often yes, but it depends on your card, your bank and your eligibility. Registered SMEs can apply for the SME facility, which allows up to $3,000 a year for bona fide expenses abroad, subject to the bank's checks. Freelancers and service exporters can use retained ERQ earnings for expenses such as software registration. Confirm with your bank before subscribing.

Is TallyKhata free?

TallyKhata offers a free Standard version for core bookkeeping, including sales, expenses and customer dues. Its Google Play listing describes a paid Gold version with additional features such as stock accounting and multi-business management. Payment-related services, such as receiving money or withdrawing funds, can carry their own charges, so check the current fee details in the app before relying on it for payments.

Should I use a personal bKash account for business payments?

It is better to use a dedicated business account. bKash offers a Personal Retail Account designed for micro and small retail and f-commerce businesses, as well as merchant accounts for larger ones. A business account keeps customer payments separate from personal money and gives you cleaner statements. Note that a personal account cannot be converted into a PRA, so you need a new number.

Are AI tools reliable for writing in Bangla?

AI assistants can produce usable Bangla drafts for product descriptions, social posts and customer replies, which saves time on routine writing. However, the phrasing can sound unnatural, and facts about prices, laws or tax rates can be wrong. Treat the output as a first draft and have a fluent team member review it before anything reaches customers or partners.

How much should a small business spend on productivity tools?

There is no single right figure, because a retailer, an agency and an online seller need different tools. Start with free tiers where they genuinely cover your workflow. Pay for a tool when it solves a specific operational problem or replaces enough manual work to justify the cost, and only once you have a legal way to pay for anything billed in foreign currency.

Start Small and Add Tools When They Solve a Problem

For many very small Bangladeshi businesses, a phone, WhatsApp Business, a khata app or shared sheet, a dedicated business payment account, and a courier merchant panel can be enough to start. Several of these have free tiers, work on mobile data, and handle Bangla. Growing businesses will need more: proper accounting, inventory, payroll, a CRM and, often, a website or online store.

The common thread is fit, not quantity. A tool earns its place when it solves a real operational problem, and your team uses it consistently. Before you add anything, know which task it replaces, who owns it, and when you would outgrow it.

The payment side has also become clearer. Eligible SMEs and service exporters now have defined formal routes for certain foreign business expenses, subject to Bangladesh Bank rules and their bank's requirements.

A useful first step this week: list every app your business uses, mark the ones that duplicate each other, and retire one. Then add the next tool only when a specific problem calls for it.
